Her Mood Mentor

Consumer Health Data Privacy Policy

Under Washington's My Health My Data Act (RCW 19.373). We apply it to everyone who uses the tracker, wherever you live.

What health data we collect

Only what you choose to enter:

  • Symptoms and how strong they are
  • Cycle and period dates
  • Mood
  • Answers to assessments or questionnaires

Why we collect it

  • To show you your own patterns.
  • If you book a session or become a client, the symptom tracking and assessment you already entered become visible to your coach to help you get started. We don't review your entries for coaching until you book a session or become a client. Her Mood Mentor's owners can see the information you enter, including your health entries and assessment answers, in order to run the service. Any statistics we produce from it don't identify you.

This information is required for the tracking tools to work. If you withdraw consent, the tracking tools stop working for you.

How we collect it

You type or tap it in. We don't pull it from anywhere else.

Who we share it with

Only the companies that help us run the tracker, under contracts that limit what they can do with your data:

  • Supabase: hosting and database
  • Cloudflare: website hosting
  • Resend: sending you email (your email address and the message)
  • EmailOctopus: our email newsletter. It receives your email address and the fact that you signed up. It never receives health information or tracker entries.

We do not sell your health data. We do not use it for advertising. We do not give it to advertisers, data brokers, or social media companies.

Your rights

You can:

  • See the health data we hold about you, and ask who we share it with.
  • Delete it any time. Use Delete my account in the account menu. This removes your data, including your consent record, from our systems and tells our processors to do the same. Backups are overwritten on our providers' schedule. This is for the tracker. If you are a coaching client, see If you become a client below.
  • Withdraw consent any time. Deleting your account does this. You can also email us.
  • Appeal if we turn down a request. Email info@hermoodmentor.com with "Appeal" in the subject. We will answer within 45 days. If we still say no, you can contact the Washington Attorney General.

We reply to requests within 45 days.

How long we keep it

  • While your account is active, we keep it so you can see your history.
  • If you haven't signed in for 6 months, we email you. If you don't sign in within 10 days of that email, we delete your account and data.
  • If you become a client, your records are covered by your client agreement.

If you become a client

How long we keep your information. We keep your client file (intake, assessments, lab results, notes, protocols, reports, messages, attachments and voice notes) for 8 years after your last activity with us, then delete it. Staff working notes and drafts created to support your care are deleted after 1 year. Session recordings are deleted within 90 days, and we do not keep transcripts. Billing records are kept for 7 years. If you were under 18 when you started, we keep your file until 8 years after your 18th birthday. You can ask us to delete your information at any time by emailing info@hermoodmentor.com. We will complete it within 45 days, including backups as they are overwritten on our providers' schedule. If you ask us to delete your information, we will keep your signed agreement until 8 years after your last activity with us, then delete it. We may also keep limited records we are legally required to keep or need to defend a legal claim, and we will tell you what we kept. Our service providers are asked to delete your data too.

Where it's stored

In the United States.

Keeping it safe

Only the owners and, once you book or become a client, the people supporting you can see it. It is protected by industry-standard security.
